Person should preferably have experience using the following software:
- Caliber Software
- Paylease / Go Zego
- AVID / Strongroom
- QuickBooks online
- Produce financials from accounting software.
- Audit
- Perform bank reconciliation.
- Post deposits
- Journal entries
- Deposits into check scanner
- Post late fees
- Property management accounting
- Homeowner associations
- Paylease Batch Deposit Report
- Paylease Payment Initiation Daily Report
- And any Void, Return, Reversal Summary Report
- Caliber: Print Lock Box Report
- Pacific Premier Bank Lockbox: Print the Daily Deposit Report
- Verify balances, if match, put together and file
- Process any Positive Pay if available – Bank Account
- Verify and process any exception – Bank Lockbox
Strongroom Tasks:
- Upload in Strongroom Vendors Invoices in daily basis
- Approve AP Invoices: this is the 1st approval then send for 2nd review and completes the final approval.
- Scan & deposit to bank account
- Print Deposit Reports and file
- When Escrow Documents received in the mail:
- I process the ownership transfer
- I post the check for HOA dues
- I Post the check for Transfer fee for Smarter HOA in QB
- I Scan checks / Pacific Premier Bank & file Escrow backups & documents.
- Reconcile bank accounts.
- Post monthly reserve allocation for all HOA’s
- Once Bank Rec done, 2nd review is completed the financial audit and send them to to be finalized
- Review financials audited 2nd person, post any necessary JE’s: Accrual/Reversal, Reallocation Interest Reserve, reclass any invoice to correct account…. submit to management for final approval
- Upload financials save in monthly financial folder for the current month, print a copy and file.
- Run Late Fee Report and send to owners
- Post Water & Sewer Billing
- HOA’s Billing for monthly Dues
- Send Monthly Statements to owners
